Save the context, not just the selected values

A saved configuration may be reopened weeks after the customer first explored it. During that time, your range might gain a finish, lose an accessory or receive a price update. A list of selected values alone cannot explain which product information the buyer originally saw. Record the configuration date, product identifier and the version of the range and pricing rules used to create the brief.

Give options stable internal identifiers as well as readable labels. Renaming “Dark grey” to a more precise finish name should not break an otherwise valid design. An identifier helps the system recognize the selection; the saved label preserves the language the customer saw. Decide which information the salesperson needs to distinguish a renamed option from a genuinely different product.

Separate the original brief from the current review

Keep a readable snapshot of the original selections and estimate assumptions. When the customer reopens the design, compare it with the current range rather than silently rewriting the old brief. If the estimate changes, show what changed and explain whether the new figure is a refreshed estimate or requires a sales review. A saved estimate should not imply a price guarantee your business has not agreed to provide.

Treat revised product rules just as carefully as revised prices. A configuration that was allowed in one release may need different supports or accessories in the next. Show a visible review status, preserve the original choices and ask the appropriate product owner to define the next step. The software should not infer a technical substitute merely because two options have similar names.

Give unavailable options a clear recovery path

If an accessory is discontinued, name the affected selection and explain its current status. Let the buyer return to the available choices without losing the rest of the configuration. Where your product team has approved a replacement, describe the difference and ask the customer to confirm it. Do not automatically replace a visible feature or a cost item in a saved design.

If the product itself is no longer offered, keep the brief readable and provide a route to discuss an alternative. A dead link loses the useful context the buyer has already created. Your receiving team should see the original product, the date and the outstanding question so that the first reply can address the actual situation.

Test updates with real examples before releasing them

Create a small collection of saved test designs: a basic configuration, a heavily accessorized version, an option with a dependency and a product that may be retired. Reopen them against a proposed range update. Check unchanged designs, renamed labels, unavailable selections and changed estimates separately. Record the expected message and the person who approves each recovery path.

Assign ownership for these updates before launch. A product specialist should review compatibility changes, the pricing owner should confirm revised estimate behavior and the sales team should review the customer explanation. In a hypothetical range update, a buyer’s saved pergola includes Screen A, which is no longer offered. The product team has approved Screen B as an alternative, but its appearance and estimate differ.

  • Preserve the original brief and identify Screen A as unavailable.
  • Show the approved alternative with its visible and pricing differences.
  • Create a revised version only after the selection is confirmed; keep the original reference.
